Time2L in general

Which devices support Time2L?

Tracker:

Time2L runs on all iPhones with iOS8 or higher and all Android phones with 4.0.4 or higher. The same is true for tablets. Time2L also works flawlessly in browsers even though we clearly recommend Google Chrome (Microsoft Internet Explorer being the least favourable option).

Admin Portal:

The Admin Portal is a browser-based solution which works in general in every browser. Again, we clearly recommend Google Chrome (Microsoft Internet Explorer being the least favourable option). In particular if you want to use Time2L Swipe and assign NFC Tags to users, as you need to use a Google Chrome Plugin we wrote.

Time2L Swipe (Tablet):

Time2L runs on all iPads with iOS8 or higher and all Android tablets with 4.3.0 or higher. However, we recommend to take a look at the tablet models we have in our webshop as we can only guarantee for these that Time2L Swipe will run flawlessly. If you purchase them from there, they come with Time2L Swipe pre-installed.

 

Where do I get my login details from?

After your employer has created your account in Time2L, you will receive automatically an email with your initial loging credentials. Please change your password after the first login.

How do I reset my password?

You can change your Password in the Portal as well as in the Tracker in your Profile. If you have forgotten your Password, you have two options:

  • contact one of your superiors who can rest your Password
  • on the login screen, click on “Forgot Password”

Who has access to my Timesheets?

Your employer defines the people who can see your Timesheets and Records. Please contact the system admin or your superior in your organization to answer this question.

What is Time2L?

Time2L is a one-stop-shop digital timesheet solution, which was initially developed for service, maintenance and construction businesses. Yet, due to several award-winning innovations you can now just as well use it easily in your offices and your factory.

 

Tracker: Create and edit Timesheets

How do I create a Timesheet?

You have 2 options:

a) automatically during a work day as you go:

  • Click on Menu icon in top left corner
  • Click onTimesheet
  • Click on Project and make a selection
  • Add. Notes (optional)
  • Click on Clock In

b) manually at the end of a working day:

  • Click on Menu icon in top left corner
  • Click on Manual Timesheet
  • Click on Project and make a selection
  • Select the day and time shen you have worked
  • Add. Notes (optional)
  • Click on Create

How do I switch a Project?

You can switch from one Project to the next within 2 clicks:

  • Click on Menu icon in top left corner
  • Click onTimesheet
  • Click on Switch
  • Select a Project
  • Click Continue

How do I clock-out of a Timesheet?

  • Click on Menu icon in top left corner
  • Click onTimesheet
  • Click on Clock Out
  • Check the Projects on which you have been working on
  • Click on Submit

How do I create a Manual Timesheet?

  • Click on Menu icon in top left corner
  • Click onManual imesheet
  • Select a Project (and a Task if possible)
  • Select the working date, start and end time Add a Note (optional)
  • Click on Submit

How can I add a Record to a Manual Timesheet?

  • Click on Menu icon in top left corner
  • Click on Manual Timesheet
  • Create your first Timesheet
  • Click on the “Plus” symbol in the gray circle
  • Create your second Timesheet

How can I submit a Manual Timesheet?

  • Click on Menu icon in top left corner
  • Click on Manual Timesheet
  • Create a Timesheet
  • Check the data you have entered
  • Click Create

Can a Timesheet be modified after submission?

No. However, you can re-submit a Timesheet once it has been rejected by one of your superiors.

Can I delete a wrong Timesheet?

Yes, you can. However, this has to be done before you submit the Timesheet. To do that, follow the subsequent steps:

  • On the Submit screen, click on the record you want to delete
  • You can now see the details of that record
  • at the bottom you find the Delete button
  • click on delete and confirm to delete the Record

Where can I modify a Timesheet that has been rejected by my supervisor?

If your Timesheet was rejected, Time2L will send you a notification (see letter icon in the top right corner of your App). Here you can open the Timesheets directly, edit and re-submit them. They will after that also be available in your Archive.

Do I have to clock out and in again every time I start working on a new project/job?

No. You only have to clock-in once a day. After that you can simply use the Switch button. If you click on it, you will be directed straight to a project list. Select the next project you want to work on and click on Continue.

Can I add Notes or comments to my Timesheet?

Yes. This is possible in Timesheets as well as in Manual Timesheets. Simply click on Notes and write free text in the field. It will be submitted with your Timesheet.

What happens if I clock-in too late?

That is no problem at all. You can always create a Manual Timesheet after the fact. However, please be aware that your superiors will be able to see in the Portal that the Timesheet was created manually.

How do I record a Public Holiday?

  • Click on Menu icon in top left corner
  • Click on Manual Timesheet or Timesheet – whichever you are creating
  • Click on Options
  • Activate Public Holiday Switch
  • Click Done

 

Tracker: Time2L Swipe

How can I activate Time2L Swipe (=NFC) on my Smartphone?

That depends on your phone: Android or Apple.

Android:

  • Open the settings of your phone and activate NFC
  • Open Time2L Tracker App
  • Activate NFC under Settings
  • Confirm all Pop-Ups (Bluetooth and GPS) that may appear

iPhone:

  • Open Time2L Tracker App
  • Activate NFC under Settings
  • Switch HiKey Bluetooth Reader on
  • Confirm all Pop-Ups (Bluetooth and GPS) that may appear
  • The connection between reader and your phone is established as soon as it says „NFC reader is connected“

How can I use Time2L Swipe on my smartphone to clock-in my team members?

  • Click on Menu icon in top left corner
  • Click on Timesheet and select the Project against which you want to records your employees time
  • Hold the NFC tag of your employee against the reader in the phone
  • Time2L gives you an optical feedback (pop-up) when the employee was successfully clocked in
  • Now the working time of your employee is automatically allocated against the project you chose at the beginning

How can I use Time2L Swipe on my smartphone to clock-out my team members?

  • Click on Menu icon in top left corner
  • Click on Timesheet
  • Hold the NFC tag of your employee against the reader in the phone
  • Time2L gives you an optical feedback (pop-up) when the employee was successfully clocked out

How can I use Time2L Swipe on my phone to switch the Project my team members are working on?

  • Click on Timesheets
  • Clock-out
  • Check the working time and submit
  • Select the new project in Tiimesheet
  • Add Notes if necessary
  • If you are switching the Project as well, click Clock-In
  • Hold NFC Tag of employees against the back of your phone / or the reader

Please note that this means that you have to end your work first before you can switch the project of your employee.

 

Tracker: Leave

How can I submit leave days (annual leave, sick leave etc.) ?

Time2L provides you with the opportunity to apply for all types of leave directly via your smartphone or browser. Just follow the subsequent steps:

  • Click on Menu icon in top left corner
  • Click on Leave Register
  • Select the type of leave you want to take
  • Add a note (optional)
  • Click Submit

How can I switch on GPS localisation in Time2L?

You can switch on the GPS feature in your Tracker in Setting. To do that, please follow these steps:

  1. Click on the Menu button
  2. Settings
  3. Use switch button to activate (=orange) the localisation feature

Please note that the localisation is only activated, if the GPS function of your phone is active.

In the blue bar at the top of the Tracker-screen you can see a map marker. If it is white, you have GPS reception. If it is red, you don’t.

Where can I find my Timesheets?

You have two options:

a) on your smartphone or in the browser:

  • Click on the Menu icon in the top left corner
  • Click on Archive
  • Here you can now see which Timesheets have already authorized, which haven’t been and which were rejected by superiors

b) in the browser in the Portal:

  • Click on Timesheet in the menu bar at the top
  • Here you can now see which Timesheets have already authorized, which haven’t been and which were rejected by superiors

Can I track my hours worked on a daily, weekly, monthly basis?

You have two options:

a) on your smartphone or in the browser:

  • Click on the Menu icon in the top left corner
  • Click on your Profile (=your name)
  • Here you can now see a few personal statistics on your woring time

b) in the browser in the Portal:

  • Click on Timesheet in the menu bar at the top
  • With the help of the filter and the search field you can now see your daily, weekly , etc. working times

Where can I see which employees are clocked-in?

There are two options: In the Portal and in the Tracker.

Please note that you have to have the User Level Supervisor or higher.

Portal: Open the Dashboard and check the box called “Employees on the Clock”.

In the Tracker, open the menu item Employees on the Clock.

Portal: Projects and Tasks

Is there another level other than projects?

Yes, TASKS.

They are a sub-level of projects which means you can now allocate your working times even more exactly.

Here is an example how it works:

Imagine you have to build a house. This would be your project. However, the construction of a house can be broken down into many smaller parts: Planning, pouring the foundation, walls, floors, the roof, painting, carpentering, plastering, etc. All of these could be your TASKS. That means while your employees are working on a specific task, their working time will still be allocated to the PROJECT. You can select an Task now conveniently directly in the tracker below the Project field. Please note: if you didn’t assign any tasks to a certain project, the TASK field will be hidden.

How can I set up Tasks?

You can create Tasks with the following 2 step-process:

  1. Define your TASKS in “Settings”
  2. Allocate them to specific Projects in “Projects”

Both steps are described in a little more detail below. Define Tasks: Before you can assign tasks to specific projects, you have to create them in “Settings”.

Please follow the subsequent steps to do that:

  • Open the Portal and go to “Settings”
  • Open the tab “Project Settings”
  • The first section is called TASKS
  • Add and Remove TASKS just like you did with other settings However, there is an additional Switch Button, that does not appear in the other settings: by activating it, you assign a certain TASK to all projects
  • You should receive Feedback of your action at the bottom of your screen

Assign Tasks to specific Projects: In “Settings”, you can allocate certain TASKS to ALL projects in your company. However, you can also assign individual TASKS to individual Projects. This is done in “Projects”:

  • Open the Portal and go to “Projects”
  • Open the tab “Tasks”
  • Use the Switch Buttons to assign individual TASKS to individual Projects by activating the Button
  • You should receive Feedback of your action at the bottom of your screen.

Where can I acces reports?

In the Admin Portal, you can see reports in the Dashboard as well as in the Reporting section. Please note that if you click on Additional Reports in the latter, you will be directed to a download area where you can download dozens of further reports in Excel format. Please take note of the manual for these in the first tab.

 

Tablet: Time2L Swipe

Can my supervisor or superior submit or edit my Timesheets?

No. You are the only person who can create Tiimesheets for yourself. By the same token, your superiors cannot edit your timesheets. They can only reject your Timesheet but they have to provide you with a reason why. You can then edit your Timesheet accordingly and re-submit it.

How can I log out of Time2L Swipe on the tablet?

Click 5x on the Time2L Swipe logo in the top-left corner of the screen.
